Program Assistant - Position Description

February 2025

ECMI, a community-based music school offering instruction and performances, seeks an organized, personable and self-reliant individual to assist with the daily operations of the organization. The successful candidate must be able to prioritize tasks and communicate effectively and respectfully with faculty, students/families and community partners. Excellent writing and computer skills, along with fluency in Google Workspace needed. 


Key Responsibilities

  1. Coordinate student registration and communications, including email, phone, and website communications

  2. Run music school management software, used for scheduling, attendance, invoicing, and payroll. Includes data entry, generating and submitting reports, and assisting faculty with its use

  3. Organize room scheduling and logistics for lessons, concerts, and special events

  4. Orchestrate volunteers and provide onsite support to front desk, concert series, recitals, and other community events

  5. Maintain organizational files 

  6. Assist with maintaining databases, including student and faculty rosters and donor mailing lists

  7. Support the Executive Director with internal and external communications, including marketing and promotions, website and social media, faculty announcements, and the development and distribution of print media

  8. Other job-related duties as assigned

Desired Skills and Experience

  1. Ability to work both independently and collaboratively

  2. Strong interpersonal skills, including the ability to provide excellent customer service and support Faculty with our internal management systems

  3. Exceptional organizational skills

  4. Flexibility with working hours as determined by lesson schedules, programs and events

  5. Fluency with Google Workspace is essential, including organization within Google Drive and understanding of document types and sharing. Experience maintaining and using spreadsheets desired.

  6. Social media experience within a business or non-profit setting desired

  7. Experience with online scheduling a plus

Supervision

This position reports to the Executive Director.

Compensation

Hourly position, pay range from $18-20/hr depending on experience. This is a 20 hour/week position with the potential for growth, as funding permits. Hybrid-remote and flexible schedule as organizational needs allow.
